Board of Director Executive Limitation Policies:

X11 Data Privacy Policy

La Montanita maintains records of financial data in order to calculate patronage dividends and comply with accounting and IRS guidelines. A member/owner database is also maintained. La Montanita is committed to guarding its member/owners’ personal privacy to the highest degree possible, consistent with legitimate business needs and legal requirements.

Accordingly, the General Manager shall not fail to:

X11.1 Ensure that the point-of-sale system database is used only for valid internal Co-op purposes as approved by the GM. Report all usage of the point-of-sale system database as it occurs.

X11.2 Ensure that the member/owner database is used only for valid internal Co-op purposes as approved by the GM. Report all usage of member/owner database as it occurs.

X11.3 Ensure the point-of-sale and member/owner database information is not shared with or sold to other organizations.

X11.4 Provide a written privacy policy with the application for membership and upon request, provide information about the uses to which member data may or may not be applied.

Staff Data Privacy Policy:

Protecting the security and privacy of our members is of the utmost importance to La Montanita Co-op. Only staff authorized to enter and access member information may do so. La Montanita staff will not disclose data supplied by members to anyone at anytime. Unauthorized access or use of member data is considered to be severe misconduct and will be treated as such.

Uses of Member Data:

  1. Member mailing and e-mail addresses will be accessed to mail the following:
    • Notices of membership expiration.
    • Notices of proposed By-Laws amendments.
    • Voting ballots for annual elections and By-Laws amendments.
    • Annual patronage refund checks and certificates.
    • Co-op event and member discount announcements.
    • Special member savings coupons and newsletters.
  2. Member purchase data will be accessed for the following:
    • Calculation of annual patronage refund.
    • Calculation of discount for events based on patronage.
